Basic Setup

  1. Open Toybird Webmail Indexer on your Mac.
  2. Click Add Gmail Account.
  3. Sign in on Google’s official sign-in page in your default browser.
  4. Approve the requested Gmail metadata permission.
  5. Wait for the most recent 30-day index to complete.
  6. Open macOS Spotlight and search for a subject, sender, recipient, label, or other indexed metadata.

Free Version and Full History Access

The free version indexes metadata from the most recent 30 days for each connected Gmail account.

The optional Full History Access one-time in-app purchase unlocks 3 months, 6 months, 1 year, 2 years, and all-mail history options. It is a non-consumable purchase and does not require a subscription. The App Store displays the current price before purchase.

How do I restore a purchase?

Open Upgrade in the app and choose Restore Purchases. Use the same Apple ID that was used for the original purchase.

How do I use an offer code?

Open Upgrade and choose Redeem Offer Code. On supported macOS versions, the app displays Apple’s standard redemption sheet. On older supported versions, the app may open the App Store redemption page. Offer-code availability and validity are controlled by Apple.

I redeemed a code, but access is still locked

Return to the app and use Restore Purchases. Confirm that the Mac is signed in to the App Store with the Apple ID that redeemed the code.

Account Settings

Settings are managed separately for each Gmail account.

  • Index mail history: the free version supports the most recent 30 days. Full History Access unlocks 3 months, 6 months, 1 year, 2 years, and all mail.
  • Include Gmail snippets: optional and off by default. When enabled, Gmail’s short snippet may be included in Spotlight search for that account.
  • Pause Sync: pause long-running indexing and resume it later.
  • Rebuild Spotlight Index: recreate Spotlight items for the selected mailbox.
  • Remove Account: delete the account’s local metadata, saved tokens, and Spotlight index items from this Mac.

General Settings

  • Launch at Login: when enabled, the app starts in the background after you sign in to your Mac.
  • Show in Menu Bar: show or hide the menu bar item. If hidden, reopen the app from Applications or macOS Spotlight to access its window and settings.
  • Background Sync: allow periodic Gmail metadata syncing while the app is running.
  • Language: choose the app’s display language.

Troubleshooting

Spotlight results do not appear

Wait until the most recent 30-day sync is complete, then try searching again. If results still do not appear, use Rebuild Spotlight Index in the app and allow macOS time to refresh Spotlight results.

The result opens Gmail but shows the wrong account

Gmail results open in your default browser using the account email. Make sure the same Google account is signed in to Gmail in that browser.

Sync takes a long time

Large mailboxes can take time, especially when Full History Access is active and the history range is set to All mail. You can pause sync, narrow the history range, and resume later.

Google sign-in does not complete

Make sure you finish sign-in and permission approval on Google’s page. If Google limits access during verification or staged rollout, only approved test accounts may be able to complete sign-in.

The purchase product or price does not appear

Confirm that the Mac is connected to the internet and signed in to the App Store. App Store product availability can take time to update. Close and reopen the Upgrade screen, then try again.

I removed an account. Does it delete email from Gmail?

No. Removing an account from Toybird Webmail Indexer only deletes local app metadata, Keychain tokens, and Spotlight index items on your Mac. It does not delete or change your Gmail messages.

Privacy and Data Handling

Toybird Webmail Indexer does not fetch full Gmail message bodies, does not download attachment files, and does not request permission to send, delete, or modify Gmail messages.
