Toybird Webmail Indexer is a macOS app that lets you add selected Gmail metadata to the standard macOS Spotlight search index. This policy explains what information the app accesses, how it is used, where it is stored, how purchases are handled, and how you can remove local data.

Google Account Sign-In
When you add a Gmail account, Toybird Webmail Indexer opens Google’s official sign-in and consent page in your default browser. You enter your Google password only on Google’s page. The app never sees or stores your Google password.
The app may request the following Google OAuth permissions:
- openid
- userinfo.email
- userinfo.profile
- https://www.googleapis.com/auth/gmail.metadata
These permissions are used to identify the signed-in account and to read Gmail metadata needed to create local Spotlight search items.
Gmail Data Accessed
For each Gmail account you add, the app may access and locally store metadata such as:
- Account email address and display name
- Gmail message ID and thread ID
- RFC 822 Message-ID header
- Subject
- From, To, and Cc headers
- Date
- Gmail labels
- Unread, starred, and important state
- Whether a message appears to have an attachment
- Gmail snippet, only if you enable snippet indexing for that account
Snippet indexing is off by default and can be managed separately for each Gmail account.
Gmail Data Not Accessed or Modified
Toybird Webmail Indexer does not fetch full message bodies and does not download attachment files.
The app does not request permission to send email, delete email, archive email, label email, mark email as read or unread, or otherwise modify your Gmail mailbox.
How the App Uses Gmail Data
Gmail-derived metadata is used only to create and maintain local macOS Spotlight search items and to open the corresponding Gmail conversation in your default browser when you choose a result.
The free version indexes the most recent 30 days for each connected account. If you activate the optional Full History Access purchase and choose a longer per-account range, the app may index older metadata for 3 months, 6 months, 1 year, 2 years, or all mail.
Local Storage
The app stores Gmail-derived metadata locally on your Mac in the app’s local storage area and registers searchable items with macOS Core Spotlight.
Google access tokens and refresh tokens are stored in macOS Keychain. Tokens are not stored in the local metadata database.
App settings, connected-account preferences, synchronization state, and purchase entitlement status may also be stored locally so the app can operate and preserve your choices.
In-App Purchase and Offer Codes
Toybird Webmail Indexer offers an optional non-consumable in-app purchase called Full History Access. The purchase unlocks longer Gmail history-range options. The app does not require a subscription.
Purchases, restoration, transaction verification, and offer-code redemption are processed through Apple’s App Store and StoreKit systems. Toybird Labs does not receive your full payment card information.
The app may receive and locally retain purchase entitlement status, product identifiers, and transaction verification results needed to unlock or restore the purchased feature. Offer codes are entered through Apple’s redemption interface; the app does not operate a separate Toybird Labs coupon-code database.
Data Sharing and Transfer
Toybird Webmail Indexer does not sell, rent, or share Gmail-derived metadata with Toybird Labs servers, advertisers, analytics providers, data brokers, or external AI services.
The app communicates with Google APIs to authenticate your account and retrieve Gmail metadata that you approved. It communicates with Apple’s App Store services when loading purchase information, verifying transactions, restoring purchases, or redeeming an offer code. It may also open Gmail URLs in your default browser when you choose a Spotlight result.
Gmail-derived metadata is processed locally on your Mac and is not transferred to Toybird Labs or third-party servers by the app.
Google API Services User Data Policy
Toybird Webmail Indexer’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Deleting Data
You can remove a Gmail account inside the app. Removing an account deletes the account’s locally stored Gmail metadata, saved Keychain tokens, and Core Spotlight index items from your Mac.
You can also revoke the app’s Google access from your Google Account permissions page. Revoking access prevents future Gmail metadata access, but it does not automatically remove local metadata already stored on your Mac. To remove local metadata, remove the account inside the app.
Deleting the app removes its local container data according to macOS behavior. App Store purchase records are maintained by Apple and may remain restorable with the Apple ID used for purchase.
Support Email
If you contact support by email, the information you choose to include in your message is handled through your email provider and the support mailbox. Do not include sensitive message content unless you intentionally choose to share it.
Children
Toybird Webmail Indexer is not directed to children and does not knowingly collect personal information from children.
Policy Updates
This policy may be updated if the app’s features or data-handling practices change. The updated date will be shown on this page.
